Fulfillment is an important part of every physical artwork acquisition. The specific requirements depend on the artwork and its fulfillment method.
01 — Artist Fulfillment Responsibility
By accepting an order, the artist confirms that they are prepared to fulfill the order according to the agreed requirements and timeline.
Unless otherwise agreed, the artist is responsible for the applicable fulfillment activities, including:
- Production, where applicable
- Preparation of the artwork
- Packaging
- Shipping and logistics
- Providing required delivery information
- Completing fulfillment within the agreed timeframe
For original physical artworks, the artist is responsible for arranging and completing shipping as part of their fulfillment obligations.
02 — Production & Print Fulfillment
Some artworks require production before they can be shipped.
For Print on Demand, the applicable production and print requirements are handled according to the artwork’s listed fulfillment method.
Print format and print size are selected during the fulfillment process where applicable, rather than by the collector during the initial artwork listing or checkout.
For Original Artwork, the physical artwork itself is prepared and packaged for shipment according to the applicable order requirements.
03 — Production, Packaging & Shipping Costs
When an artwork is listed, the artist provides the applicable estimated fulfillment costs based on the artwork and its fulfillment method.
For example:
- Print on Demand: estimated production + shipping
- Original Artwork: estimated packaging + shipping
When a collector places an order, the artwork/licensing price plus the applicable estimated fulfillment costs form the Total Order Value secured in escrow.
These estimates allow the collector to see the expected total acquisition cost before completing the purchase.
04 — Actual Cost Adjustments
After an order is accepted and fulfillment begins, the actual production, packaging, and/or shipping costs can be determined.
If the actual costs differ from the original estimates, the updated costs are communicated to the collector through the applicable order process.
If the actual cost is higher
The collector is shown the updated cost and the additional amount required.
Where an increase changes the amount that must be secured for the order, the collector reviews and approves the additional amount through the Platform before the applicable fulfillment process continues.
If the actual cost is lower
The collector is notified of the lower actual cost.
The difference is then handled through the applicable order and escrow process, including any applicable adjustment or refund.
This ensures that the final fulfillment costs reflect the actual costs rather than permanently charging the collector based only on an initial estimate.
05 — Shipping
The artist is responsible for arranging the applicable shipping and delivery requirements for an accepted order, unless otherwise agreed in writing by Vango Art.
Shipping should be properly prepared and, where applicable, insured and packaged in a manner appropriate for the artwork.
For original physical artworks, the artist provides or confirms the applicable pickup/dispatch information during the fulfillment process.
For Print on Demand, the applicable production and shipping process follows the listed fulfillment arrangement.
The collector provides their delivery address during the acquisition process. The artist does not select the collector’s delivery address or shipping destination.
06 — Delivery & Confirmation
Once the artwork has been shipped, the applicable tracking and delivery information is recorded through the order process where available.
The collector confirms receipt once the artwork has been delivered.
If the artwork is damaged, incorrect, or not delivered as expected, the collector should contact Vango Art through the applicable support or dispute process.
07 — Escrow & Fulfillment
The Total Order Value is secured through the applicable escrow process while the order progresses through fulfillment.
Once the applicable fulfillment and escrow release conditions have been satisfied, the eligible funds are released according to the Platform’s escrow procedures.
This may include the applicable artwork/licensing amount and eligible fulfillment costs associated with the order.
08 — Exceptional Fulfillment Assistance
In limited and exceptional circumstances, Vango Art may, at its discretion, provide controlled fulfillment assistance for a specific stage of an order.
Such assistance:
- Is not automatic.
- Is not a standard feature of the Platform.
- Is assessed and approved case by case.
- May apply only to a specific fulfillment stage.
- Does not create an entitlement to future assistance.
Any approved assistance does not transfer the artist’s overall fulfillment responsibility to Vango Art or the collector.
The artist remains responsible for completing all remaining fulfillment obligations.
09 — Failure to Fulfill
Failure to fulfill an accepted order in accordance with the applicable requirements and timeline may result in cancellation of the order, suspension of fulfillment privileges, or other actions permitted under the Terms of Service.
Where an order is cancelled or otherwise requires resolution, the applicable escrow, cancellation, return, refund, and dispute procedures will determine how the funds are handled.
